The position is full-time (Tuesday thru Saturday from 8:30am to 5:00pm) with competitive pay and excellent benefits.


Summary of Duties

The Clubhouse Manager is responsible for the daily operations, staffing, and financial oversight of the Emerald Island Resort Clubhouse and its amenities. This leadership role requires a proactive, organized, and customer-focused individual with strong hospitality and administrative skills.
This position reports directly to the Operations Manager and General Manager.

   

Primary Responsibilities

Clubhouse Operations & Oversight

  • Manage daily operations of the Clubhouse, ensuring a clean, safe, and welcoming environment.
  • Supervise clubhouse concierge and maintenance staff, including scheduling, performance tracking, and checklist completion.
  • Create, update, and enforce daily, weekly, and monthly operational checklists and SOPs.

Staff Management & Payroll

  • Oversee scheduling and timekeeping for clubhouse, concierge, maintenance, and tiki bar teams.
  • Submit accurate payroll information and ensure appropriate coverage for all clubhouse, tiki bar and maintenance shifts.
  • Provide training, direction, and accountability to clubhouse staff.

Tiki Bar Operations

  • Manage food and beverage inventory, order supplies, and monitor quality and expiration dates.
  • Oversee POS (Point of Sale) system operations, pricing, reports, and reconciliation.
  • Handle cash management, daily deposits, and accurate reporting of tips in compliance with company procedures.
  • Oversee cleanliness of the tiki bar area, ensuring it meets safety and health standards.

Event & Communication Coordination

  • Plan and schedule events and activities for holidays and seasonal programming.
  • Design and distribute event flyers, monthly calendars, email blasts, and newsletters to residents.
  • Coordinate with vendors and ensure event setup, staffing, and clean-up are completed.

Administrative & Financial Duties

  • Manage RFID tag distribution and records for vehicle access.
  • Maintain lease documentation and property management agreements.
  • Use the HOA credit card for approved purchases and reconcile monthly check registers.
  • Oversee the sundry shop, including ordering, stocking, and pricing merchandise.
  • Other administrative tasks needed are directed by the General Manager or Operations Manager.
  • Manage DRC (Design Review Committee) applications for owners, ensuring all required documents are submitted, and prepare applications for upcoming monthly DRC meetings.

Cash & Financial Controls

  • Maintain strict cash-handling procedures for tiki bar and sundry shop operations.
  • Reconcile daily cash reports, tips, and POS system balances.
  • Monitor budget adherence and support expense tracking for the clubhouse.

Vendor & Resident Relations

  • Coordinate clubhouse-related services and maintenance with vendors.
  • Ensure service contracts are followed, and vendor work is monitored for quality.
  • Act as the primary point of contact for resident concerns related to clubhouse operations.

Customer Service

  • Provide exceptional customer service to residents, guests, and vendors.
  • Ensure a professional and hospitable atmosphere at all times.
  • Respond promptly and courteously to inquiries or issues.

Requirements

 Work Schedule & Availability

  • Standard Schedule: Monday through Friday, 8:30 AM – 5:00 PM.
  • Clubhouse Hours: Open daily from 8:00 AM – 10:00 PM.
  • The Clubhouse Manager is expected to cover any shift gaps due to call-outs, scheduling shortages, or peak season demands, including evenings and weekends, when necessary. Flexibility is essential to ensure uninterrupted clubhouse operations.

Skills & Qualifications

  • Strong leadership and organizational skills.
  • Background in hospitality or resort-style customer service.
  • Proficiency in Microsoft Office, POS systems, and communication tools.
  • Financial and inventory management experience preferred.
  • Ability to manage multiple responsibilities with attention to detail.
  • Manager SERV Safe certification required or must be obtained within 6 months of hire.

Experience & Education

  • High school diploma or equivalent (required).
  • Associate’s degree or higher in Hospitality, Business, or related field (preferred).
  • 2+ years of management or supervisory experience in HOA, resort, or amenity operations (preferred).
