The Workplace Experience Ambassador oversees the administrative function of the office including property and office management, mail/supply, technology and security.
Overall, this position ensures the office runs as smoothly as possible for the firm, so that staff can focus on their work objectives.
Duties and Responsibilities:
- Provides reception/concierge (front-of-office) coverage and delivers 5-star customer service to all employees and guests.
- Inspects general office space and equipment using a provided checklist; creates detailed work orders with photo uploads to initiate and track repairs.
- Manages breakroom organization, cleanliness, and restocking, including oversight of the healthy snack program; maintains Business Service Center and monitors office supply levels, replenishing as needed.
- Coordinates onboarding of approved on-site vendors and supports the Sr. Regional Property Manager and Critical Environments team in evaluating vendor performance.
- Ensures conference rooms are clean and properly arranged per floor plan; provides first-level response and support for local technology and AV issues.
- Receives and distributes inbound mail and packages; manages outgoing mail/package transactions and delivery to employees.
- Assists with ergonomic reviews and setups, including delivery and installation of approved accessories; handles desktop and peripheral logistics (e.g., delivery/pickup of computers, and inventory management of mice, keyboards, docking stations).
- Supports health and safety tasks such as battery recycling, AED/first aid monitoring, and ergonomic accommodations.
- Provides administrative support for Corporate Security, Safety & Health initiatives including badge/access control, visitor registration, onsite fingerprinting, badge issuance, incident reporting, and coordination of CPR/first aid training and emergency preparedness drills with building management.
Qualifications and Education Requirements:
- High school diploma or equivalent, with 1+ year of relevant experience (e.g., concierge, admin support, hospitality, facilities, or mailroom).
- Excellent communication, customer service, and interpersonal skills.
- Proficient in Microsoft Office and familiar with general office equipment and online systems.
- Strong multitasking, time management, and problem-solving abilities.
- Maintains professionalism and performs well under pressure, including in emergency situations.
- Flexible availability based on assigned work hours.
Physical Demands
- Ability to grasp, lift, carry, and move packages on a wheeled cart up to 60 lbs.
- Capable of walking, bending, kneeling, standing, or sitting for extended periods.
- Manual dexterity to operate office machinery (phone, copier, binding equipment).
- Able to talk on the phone while inputting data simultaneously.
- Frequent lifting or moving of items weighing 40 lbs. or more.
- Vision abilities include close and distance vision, focus adjustment, and color differentiation (including shades and brightness).
Travel: Some local travel may be required.
