The Role
This role supports and contributes to Lenvi's Office Management team by serving as the first point of contact for visitors and calls. It involves managing front desk operations, including greeting guests, directing enquiries, and maintaining a professional, welcoming environment. The role also provides administrative support such as scheduling appointments, handling mail, and managing calendars.
What you will be doing:
General management of the telephone system, including the receipt of incoming calls, recording messages, and forwarding to the relevant department/employee in line with Company policy.
Welcoming visitors into the building, ensuring relevant signing in procedures are adhered to and visitor parking allocated/managed as required.
Booking travel arrangements for internal and external parties.
Processing of both incoming and outgoing post.
Managing courier facilities, collection and deliveries.
The management of internal meeting rooms including the administration of the meeting room Outlook system and ensuring meeting rooms and office areas are well presented at all times.
Arrangement of refreshments and lunches for meetings as required.
General management of office facilities.
Maintenance of general office, staff welfare and stationery supplies.
Assisting with the arrangements for Lenvi’s social events.
Co-ordination of internal charity work and fundraising events in line with current patrons.
Company-wide communications not limited to; upcoming events and car parking.
General office administration tasks as required including but not limited to:
Onboarding and offboarding staff in line with Company Policy
Managing requests from Project Managers, Developers, Designers etc.
Ensuring smooth operation of facilities and equipment
Management of staff volunteering days
What we are looking for from you
Well-spoken and articulate with the ability to interact with people at all levels.
Detail orientated with the ability to work methodically.
Able to prioritise workload effectively.
Able to work well in a target driven environment.
Self-motivated and able to work from initiative where necessary.
Professional and presentable.
Experience of working in a customer-focused role.
Computer literate with knowledge of Microsoft Office products e.g. Word and Outlook.
