The Royal Australasian College of Surgeons (RACS) is the leading advocate for surgical standards, professionalism and surgical education in Australia and Aotearoa New Zealand. The College is a not-for-profit organisation that represents more than 8600 surgeons and 1300 surgical trainees and Specialist International Medical Graduates.
RACS also supports healthcare and surgical education in the Asia-Pacific region and is a substantial funder of surgical research. There are nine surgical specialties in Australasia being: Cardiothoracic Surgery, General Surgery, Neurosurgery, Orthopaedic Surgery, Otolaryngology Head and Neck Surgery, Paediatric Surgery, Plastic and Reconstructive Surgery, Urology and Vascular Surgery.
About the Role
We are looking for two experienced Executive Assistants to provide high-level support to our executive team. This is a crucial role for someone who thrives in a flexible environment, capable of managing a variety of responsibilities from diary management to strategic support.
In this role, you will be responsible for managing the day-to-day business requirements of the executive team, coordinating key meetings, and handling logistics for travel and events. You will also provide secretariat support to committees and boards, assist in driving continuous improvement initiatives, and act as a key liaison between executives and internal/external stakeholders.
Key Responsibilities
Executive Support:
• Manage daily activities, including diary and email management.
• Coordinate travel logistics and prepare itineraries.
• Organize internal and external meetings, ensuring smooth coordination.
• Keep executives informed on project progress and business issues.
• Serve as the first point of contact for internal and external inquiries.
• Process expenses and corporate credit card statements.
• Handle confidential matters with discretion.
Secretariat Support:
• Provide secretariat support for meetings, workshops, and events.
• Prepare agendas, reports, and take meeting minutes.
• Foster strong relationships with internal and external stakeholders.
Continuous Improvement:
• Lead process improvements, focusing on efficiency and automation.
• Collaborate with the CEO's office on team projects and special initiatives.
Essential Skills & Qualifications
• Tertiary qualification in business administration or related field.
• Significant experience in an Executive Assistant role supporting senior executives.
• Proven experience in providing secretariat support to committees and senior management.
• High level of discretion when handling sensitive information.
• Strong problem-solving skills with the ability to exercise independent judgment.
• Ability to foster productive relationships and work collaboratively across teams.
• Proficient in establishing effective systems for organization and coordination.
• Strong verbal and written communication skills with the ability to engage a diverse audience.
• Customer-focused approach with a commitment to enhancing service delivery.
• Expert proficiency in Microsoft 365 Tools and experience with database administration (Microsoft Dynamics preferred).
