A DAY IN THE LIFE AS A PART TIME RECORDS CLERK
The purpose of this class within the organization is to perform a variety of clerical and administrative tasks in support of the Police Department including but not limited to assembling DA packets for the prosecution.
This class works under close to general supervision according to set procedures, but determines how or when to complete tasks.
Duties and Responsibilities
The functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.
Essential Functions
- Opens new accounts from information received via mail, email, in person or by phone; ensures data is entered correctly for future letters and invoices.
- Answers phones calls for records division and responds to a variety of requests for information concerning records and department functions and policies.
- Clears cases from the DRR.
- Applies payments accurately to accounts received via mail in cash or check and online credit card payments; ensures money is applied to correct invoice.
- Sorts, reviews, and screens police reports for completeness before forwarding to district attorney, defendants, victims, and other government agencies.
- Runs monthly NIBRS report and look for errors.
- Prepares District Attorney packets and juvenile packets for various courts and counties, preparing packets for each charge and individual.
- Verifies false alarms and generates false alarm letters daily and monthly.
- Maintains logs and other records to ensure accurate tracking of case files.
Additional Duties
- Provides all payment information accurately to the Finance Department via New World deposits/backup documents.
- Assists callers and walk-in customers with requests.
- Maintains fire and burglary alarm permits.
- Enters codes and retrieves a variety of information from various computer systems, according to appropriate procedures.
- Trains new hires.
- Distributes mail.
- Edits and updates accounts.
- Releases information and documents in accordance with the Public Information Act and other applicable laws and procedures.
- Answers non-emergency phone line.
- Performs related work as assigned.
Minimum Education and Experience Requirements
- Requires High School graduation or GED equivalent.
- Requires three months clerical or closely related experience.
Special Certifications and Licenses
- Valid Texas Driver's License
- Notary Public
- TCIC/TLETS Certification
