Production Coordinator

SUMMARY  iFIT’s vision is to create the world's most holistic health and fitness platform, integrating all elements of health - physical fitness, mental health, nutrition and active recovery - into a seamless interactive experience. We develop proprietary software that learns and adjusts to the habits of each person as it delivers immersive content that guides them on their individual fitness journey.   We are currently seeking an ambitious pace-setter to join our team as a Production Coordinator to join our team. In this position you will work closely with Producers, Talent, Crews, and Post Production. This role is vital, and will essentially be the oil that keeps the machine running.   Our ideal candidate must have an expert knowledge of current production practices and also have experience in a creative or artistic field. Having a passion for mental health, self-care and mindfulness is a plus.   ROLE COMMITMENTS ⦁ Document and develop standardized production workflows by consolidating best practices from previous shoots. ⦁ Maintain and monitor detailed production schedules to ensure all shoots stay on track. ⦁ Design and implement a streamlined wardrobe process, including lookbook creation, outfit approvals, and logistics. Manage all wardrobe-related shipping and returns to minimize delays and ensure talent readiness. ⦁ Track and manage all talent logistics including usage days, contracts, and invoice status. ⦁ Assist in the planning, coordination, and execution of up to 600 outdoor and studio video productions in FY26.   ESSENTIAL DUTIES AND RESPONSIBILITIES ⦁ Work directly with the Executive Producer, Producers and other production personnel ⦁ Coordinate with Talent and Agents on Talent availability ⦁ Coordinate with Crews on availability ⦁ Book flights, hotel and other travel for Talent and Crews ⦁ Update and maintain Talent and Crew databases ⦁ Obtain filming permits ⦁ Request COIs ⦁ Identify production inefficiencies and propose solutions ⦁ Execute NDAs, talent contracts, and crew deal memos ⦁ Purchase equipment and supplies ⦁ Research locations and compile information for Producers, Talent, and Crews ⦁ Create production books in coordination with Producers ⦁ Coordinate meetings and schedules ⦁ Vet new Crews and schedule onboarding meetings ⦁ Manage invoicing of Talent and Crews ⦁ Compile and submit expense reports ⦁ Maintain excellent customer service skills at all times ⦁ Ensure assigned final content is delivered on time and on budget ⦁ Schedule meetings, take detailed minutes, share notes and next steps, follow through ⦁ Support Producers in tasks as needed ⦁ Additional administrative tasks as needed   Who you will be working with ⦁ Executive Producer and Producers ⦁ Talent ⦁ Freelance Crews ⦁ Marketing ⦁ Social Media ⦁ iFit Trainers

 

Qualifications EDUCATION and/or EXPERIENCE ⦁ Education and Basic Qualifications (Measurable, disqualifier) ⦁ Bachelor’s degree in a related field or equivalent work experience preferred  ⦁ Minimum of 3 years experience in television/video production or related field ⦁ Excellent written and verbal communication skills ⦁ Good memory ⦁ Excellent organizational skills ⦁ Responsible business common-sense ⦁ Positive can-do attitude, team player ⦁ Precise attention to detail ⦁ Ability to manage multiple projects independently ⦁ Assertive and proactive attitude ⦁ Must be willing to travel
