Operations Specialist
Reports to: CEO
Summary
The Operations Specialist serves as a pivotal resource to support cross-functional initiatives spanning Human Resources, Clinical Operations, Growth Strategy, and Agency Operations. This role collaborates with department and agency leaders to enhance systems and processes, drive execution of strategic initiatives, and validate outcomes through measurable performance indicators. The Specialist will operate with agility, ensuring alignment across departments and delivering operational excellence while supporting leadership and front-line teams.
Key Responsibilities
Cross-Functional Support
- Partner with HR, Clinical, Growth, and Ops teams to streamline workflows and enhance interdepartmental collaboration
- Document and refine processes to ensure consistency, compliance, and scalability
- Facilitate structured project execution across teams with timelines, feedback loops, and accountability measures
Systems & Process Optimization
- Identify inefficiencies and propose actionable improvements to systems and operational protocols
- Support the adoption of new tools and platforms to improve productivity and data visibility
- Analyze internal process metrics to guide continuous improvement initiatives
Initiative Execution & Validation
- Assist leadership in launching strategic projects and organizational priorities
- Monitor progress, measure impact, and report on initiative success using data-driven dashboards
- Coordinate follow-up communications and post-initiative assessments
Financial Support & Resource Management
- Collaborate with Clinical Directors on budget management and cost control strategies to meet financial goals
- Provide tracking tools, guidance, and periodic reviews to maintain fiscal discipline across clinical operations
Field Support & Troubleshooting
- Serve as a resource for Office Coordinators across agencies, offering training, troubleshooting assistance, and process guidance
- Support onboarding and transition efforts to ensure consistency across locations
- Provide temporary coverage for vacancies or gaps in operational roles to ensure continuity and stability
Strategic Collaboration
- Act as an internal consultant to department leads for operational needs and implementation planning
- Prepare communications, decks, and reports to summarize impact and support executive visibility
- Foster a culture of accountability, innovation, and collaborative problem solving
Qualifications
- Bachelor's degree in Business Administration, Operations Management, Healthcare Administration, or related field
- 3+ years of experience in operations or project coordination, preferably in a multi-disciplinary environment
- Exceptional organizational skills with a keen eye for structure, outcomes, and alignment
- Proficiency in Microsoft 365 Suite, project management software, and data visualization tools
- Strong interpersonal and communication skills to engage with diverse teams and leadership stakeholders
- Ability to balance strategic intent with tactical execution in a fast-paced setting
Preferred Attributes
- Experience working in hospice or similar type clinical environments
- Passion for system improvement and operational excellence
- Must be willing to travel up to 25%
Essential Functions
Supervisory responsibilities: This position does not involve any direct supervisory responsibilities.
Budgetary/Fiscal Responsibility: Responsible for using resources wisely to support cost-effective operations.
Compliance Responsibility: As an essential function, this position is responsible for complying with the Compliance Program as it applies to the individual job duties, the department, and the company. This position will exercise due diligence to prevent, detect, and report unlawful and/or unethical conduct by fellow co-workers, professional affiliates, and/or agents.
Policy and Procedure Interpretation and Development: Responsible for complying with all company and clinical policies and procedures. Participates in audit process as requested to ensure compliance with policies and procedures. Maintains confidentiality of privileged information and supports the employee’s and patient’s right to privacy.
Work Environment/Schedule/Travel: Remote. Monday through Friday. Up to 25% travel to program sites as directed.
