As a Case Aide, you will work in our Portland office on Glisan Street and in the community assisting our Family Coaches and Manager as part of our School Team.
Summary of Duties
In the Case Aide role (Human Services Specialist 1), you will support Family Coaches with case management by:
Appointment Management: Coordinate and schedule appointments in accordance with JOBS program guidelines to ensure timely service delivery and compliance.
Notice Distribution: Draft and send various notices on behalf of Family Coaches, ensuring clear and professional communication.
Referral Assistance: Support the process of making and tracking referrals to community partners, ensuring families have access to essential resources.
Case Staffing Support: Assist in the planning and coordination of case staffing meetings with community partners, facilitating collaboration and case discussions.
Partner Collaboration: Work closely with partnering agencies to monitor client attendance and verify critical client information for case accuracy.
Case Documentation: Maintain detailed case notes and updates in the tracking system, ensuring accurate and timely documentation of case progress.
Correspondence Management: Handle incoming and outgoing correspondence from other agencies, ensuring that communications are directed appropriately.
Delivery Services: Deliver necessary paperwork to Family Coaches at designated school locations, ensuring timely and efficient document handling.
Home Visit Assistance: Accompany Family Coaches on home visits in the community, providing logistical and support assistance.
Community Engagement: Meet with families in the community to obtain signatures, schedule appointments, or deliver support payments as needed.
Event Participation: Represent the team at community events, providing information and support in collaboration with Family Coaches.
Reception Support: Provide backup support to front reception staff as needed, assisting with administrative tasks and client interactions.

Minimum Qualifications
A valid driver’s license and acceptable driving record are required for this position. AND
Two years of experience either interviewing to obtain personal or technical information or substantial people contact.
This experience must have involved a high volume of paperwork (e.g., assuring information on forms is complete and accurate, completing necessary documents, etc.).
College-level courses may be substituted for the experience on a year-for-year basis.

Skilled in handling, collecting, and safeguarding confidential and sensitive information with a high degree of integrity and discretion.
Proven ability to adapt communication styles to effectively convey complex rules, regulations, and procedures to diverse audiences, while demonstrating strong active listening skills.
Proficient in navigating various digital platforms, such as Microsoft Word, Excel, email systems, and online search tools.
Experienced in accurately entering and verifying detailed data with a strong focus on precision and quality control.
Demonstrated expertise in supporting customers facing financial or emotional hardship with professionalism, empathy, and compassion.
Preference will be given to candidates that are bilingual in Spanish and English.

Working Conditions
Work schedule is a tradition work week, Monday-Friday.
Experience constant contact with the public, including contact with and possibly de-escalating customers experiencing emotional and financial stress.
Experience high volume of computer work, using various computer programs in a fast-paced team environment.
Priorities and procedures may change daily and requires the ability to be flexible in application of procedures.
This role involves both office-based and community-based responsibilities. The case aide will travel to schools where Family Coaches are stationed, delivering essential documents as needed to ensure smooth communication and service delivery.

The Oregon Department of Human Services does not offer visa sponsorship. General Information
This is a permanent, full-time position and is represented by the Service Employees International Union (SEIU).
The salary range listed is the non-PERS monthly salary range. If you are already a participating PERS member or once you become PERS eligible, the salary range will increase by 6.95%.
