Job Description:
Applies a central foundation of functional principles, theories and concepts to assignments of an expanded scope. Uses knowledge acquired through specialized training, education or previous experience. Develops expertise and practical knowledge of applications within business environment.
Contributes to the development of new ideas and methods. Works on problems where analysis of situations or data requires evaluation of multiple factors. Provides expertise to functional project teams and may participate in cross-functional initiatives. Acts as an expert providing direction and guidance to project decisions, process improvements or establishing policies. Exercises significant independent judgment to determine best method for accomplishing work and achieving objectives. Acts as team member by providing information, analysis and recommendations in support of team efforts.
Job specifics/responsibilities:
- Responsible for executing established guidelines and procedures per Purchase Order (PO) Lifecycle stages
- Responsible for vendor management activities within specific areas of portfolio and/or geography, including request mgmt. for statement of work (SOW) and PO support
- Responsible for oversight of vendor delivered services, performance management and governance compliance
- Responsible for the monitoring and closure of any vendor performance corrective actions
- Collaborate with regions/ worldwide (WW), cross-functional regarding service and support planning, requirements, implementation and performance
- Periodic reporting on business performance
Key deliverables/accountabilities:
- Perform and manage tasks based on established processes, projects and programs
- SFDC VM case mgmt. administration including Quote sourcing/validation; SOW Review & signatory - ensuring SOW is correctly filled following established guidelines; PO placement in HPE Procurement tools (e.g., Ariba); Invoicing queries; Vendor setup
- Overall vetting to ensure data accuracy, quality, and coordination between teams
- Proactively manages PO renewals, including SOW change request and where needed relevant cost accruals
- Support Savings interlock processes and assist with CCOW reduction efforts
- Match vendor capabilities to delivery team requirements focusing on cost-effectiveness
- Manage vendor operational relationship and compliance
- Support After-the-Fact (ATF) reduction program for assigned vendors/ countries or strategies
- Provide support by overarching vendor issues, when engaged by the country or regional leads
- Utilize approved supplier catalogues and HPE Services vendor list
- Liaison with Global Procurement, Finance, Pursuit, HPE Operations Services Delivery organizations and teams to ensure vendor and business process compliance
- Global Procurement and Vendor Management engagement, e.g., off-the-shelf services, customized services quotation, SOW negotiation
- Provide guidance to meet contract obligations, to evaluate proposal risks pertaining to negotiation with vendor, pricing, contract T&C, stipulated vendor strategy, operational and legal risk
- Analyse reports and provide metrics, routinely reviews KPI metrics and ensure corrective action plans are in place as needed
- Participate in improvement initiatives and governance policies

Education (degree) and professional experience required:
- Typically, university degree or work experience equivalent
- Typically, 5+ years’ experience in business operations management, administrative/ project mgmt. role or relevant work experience
- Experience in customer/ vendor relationship management is highly desirable
Other requirements:
- Fluent in written and verbal Japanese and English - demonstrate per phone and email etiquette proficiency to communicate with internal stakeholders and external vendors
- Excellent organization skills, accuracy
- Planning and project management skills
- Moderate knowledge of IT and services industry of the company's organization, policies, product/ services offerings, end to end processes, tools, and routes to market
- Knowledge of customer service principles and practices
- Willingness to co-operate with others and work to the greater good at a regional and WW level

- Understanding of fundamental contracting principles

Technical skills:
- Very good knowledge of MS Office
- Intermediate skills in MS SharePoint, SAP and other HPE business applications is an advantage
- Knowledge of HPE Procurement tools is an advantage
