This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break

Job Type: Full-time



Responsibilities:
  • Contact department heads across construction, estimating, design, and admin/finance to collect process documentation videos
  • Convert loom videos and other recordings into comprehensive SOPs using systemology methodology
  • Create training tracks and onboarding materials for key roles within each department
  • Coordinate with the company’s systemology consultant to ensure proper methodology implementation
  • Develop succession plans and knowledge transfer systems to prevent business disruption when key personnel leave
  • Work systematically through a systems assignment sheet covering approximately 50+ business systems
  • Collaborate with team members to extract critical processes from their expertise
  • Ensure all documented systems are suitable for training new hires efficiently
  • Expand documentation efforts as the business scales and adds more projects


Scopes:
  • Work across all 4 business departments: construction, estimating, design, and admin/finance
  • Document key processes for critical roles that could impact business operations if personnel leave
  • Create comprehensive training systems that enable rapid hiring and onboarding
  • Support business scaling from current operations to 15+ active construction projects
  • Establish foundation for potential expansion to multiple VA roles as business grows
  • Focus on extracting knowledge from key personnel before it becomes a business risk
  • Long-term role with potential for significant impact on business systematization and growth



Requirements

  • Familiarity with systemology methodology strongly preferred
  • Excellent communication skills to work effectively with department heads and senior staff
  • Strong documentation and process creation abilities
  • Experience with video-to-SOP conversion and training material development
  • Understanding of construction/building industry processes helpful but not required
  • Ability to work independently while coordinating with multiple stakeholders
  • Long-term commitment mindset as this role is designed for business continuity
  • Proficiency with tools like Loom, Trello, and process documentation software
  • Systematic approach to managing multiple concurrent projects across departments
