This is a remote position.
Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.
Client Communication & Lead Management
Manage Buildertrend CRM, including following up on leads via phone/email
Maintain contact with all client inquiries within 24 hours
Coordinate lead nurturing sequences and sales pipeline movement
Email & Admin Support
Organize the shared admin inbox using existing color-tagging conventions
Sort and file ~800 accumulated emails (not unread), focusing on maintaining clarity for the team
Monitor and flag marketing emails/spam with appropriate caution without disrupting workflow
Process Documentation & System Optimization
Develop SOPs and company manuals from scratch
Support transition and integration of tools (e.g. QuoteFast to Buildertrend)
Maximize Buildertrend utilization for project documentation, cost tracking, and team communication
Operational Coordination
Liaise with suppliers and subcontractors for scheduling and pricing
Ensure updated cost databases and accurate documentation for compliance
Support project execution by maintaining audit-ready records
Requirements
Proficiency in Buildertrend (or similar construction CRMs)
Excellent written/verbal communication
Email management & spam filtering experience
SOP and process documentation creation from scratch
Prior lead follow-up experience (incl. repeated phone outreach)
Strong attention to detail and task prioritization
Construction industry familiarity (North QLD cyclone requirements is a bonus)
Proficiency with data transfer (e.g., QuoteFast to Buildertrend)
Experience with client onboarding and proactive communication
