We are seeking a proactive, organized, and professional Executive Assistant to provide comprehensive support to senior management. The ideal candidate will be a married female professional with 3–6 years of experience in a similar role, demonstrating a high level of discretion, exceptional communication skills, and strong follow-up capabilities. This position demands someone who can manage multiple priorities efficiently and represent the leadership with professionalism and integrity.

Requirements

Key Responsibilities:

  • Act as the point of contact between the executive(s) and internal/external stakeholders.
  • Manage calendars, schedule meetings, appointments, and travel arrangements.
  • Prepare reports, presentations, correspondence, and other documents as required.
  • Coordinate and follow up on various internal and external tasks to ensure timely execution.
  • Maintain an organized filing system of paper and electronic documents.
  • Assist in tracking key deliverables and ensuring project timelines are met.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Facilitate communication flow by drafting emails, making calls, and handling queries.
  • Collaborate with other departments and team members to ensure seamless operations.
  • Follow up rigorously with internal departments or external vendors/clients for updates, status reports, and outcomes.
  • Maintain and update Excel sheets related to reports, trackers, and executive tasks.
  • Attend meetings, prepare minutes, and ensure timely follow-ups and action items are completed.

Key Skills & Requirements:

  • Excellent verbal and written communication skills – ability to interact with all levels of management and external contacts with confidence and clarity.
  • Strong follow-up skills – must be persistent and proactive in tracking updates and driving closure on pending matters.
  • Proficiency in Microsoft Excel – should be comfortable with spreadsheets, tracking tools, and reporting.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor with a positive and approachable attitude.
  • Ability to prioritize and handle multiple tasks efficiently under pressure.
  • High level of integrity and discretion in handling confidential information.
  • Ability to work independently with minimal supervision, yet be an effective team player.
  • Prior experience in managing executives' calendars, logistics, and business coordination tasks.

Preferred Candidate Profile:

  • Married female candidates preferred for this role.
  • Minimum 3 to 6 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
  • Bachelor’s degree in any discipline; additional certifications in secretarial skills or office management is a plus.
