We are seeking a proactive, organized, and professional Executive Assistant to provide comprehensive support to senior management. The ideal candidate will be a married female professional with 3–6 years of experience in a similar role, demonstrating a high level of discretion, exceptional communication skills, and strong follow-up capabilities. This position demands someone who can manage multiple priorities efficiently and represent the leadership with professionalism and integrity.
Requirements
Key Responsibilities:
- Act as the point of contact between the executive(s) and internal/external stakeholders.
- Manage calendars, schedule meetings, appointments, and travel arrangements.
- Prepare reports, presentations, correspondence, and other documents as required.
- Coordinate and follow up on various internal and external tasks to ensure timely execution.
- Maintain an organized filing system of paper and electronic documents.
- Assist in tracking key deliverables and ensuring project timelines are met.
- Maintain confidentiality and handle sensitive information with discretion.
- Facilitate communication flow by drafting emails, making calls, and handling queries.
- Collaborate with other departments and team members to ensure seamless operations.
- Follow up rigorously with internal departments or external vendors/clients for updates, status reports, and outcomes.
- Maintain and update Excel sheets related to reports, trackers, and executive tasks.
- Attend meetings, prepare minutes, and ensure timely follow-ups and action items are completed.
Key Skills & Requirements:
- Excellent verbal and written communication skills – ability to interact with all levels of management and external contacts with confidence and clarity.
- Strong follow-up skills – must be persistent and proactive in tracking updates and driving closure on pending matters.
- Proficiency in Microsoft Excel – should be comfortable with spreadsheets, tracking tools, and reporting.
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor with a positive and approachable attitude.
- Ability to prioritize and handle multiple tasks efficiently under pressure.
- High level of integrity and discretion in handling confidential information.
- Ability to work independently with minimal supervision, yet be an effective team player.
- Prior experience in managing executives' calendars, logistics, and business coordination tasks.
Preferred Candidate Profile:
- Married female candidates preferred for this role.
- Minimum 3 to 6 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Bachelor’s degree in any discipline; additional certifications in secretarial skills or office management is a plus.
