🥜 In a nutshell

The Administration Manager is responsible for overseeing and coordinating the administrative functions of the organization, with a particular focus on legal, payroll, and general administration tasks. 

This role is critical in ensuring that our internal operations run smoothly, compliantly, and efficiently across multiple countries. They will lead and support the Legal, Administration and Payroll teams to ensure processes are smooth and aligned, and that pain points are addressed. 

By doing this, they that administrative processes are streamlined and efficient, contributing to the overall operational effectiveness and regulatory adherence of the organization.


🎯 The responsibilities & the impact YOU will have:

Leadership and team management

  • Provide guidance, prioritization, and support for team leads and individual contributors.
  • Leverages strengths of the Administration team members; providing clarity on the roles and responsibilities.
  • Develops and implements training programmes to maximize and help them reach optimal individual and organizational goals.
  • Coordinates between Legal, Admin and Payroll teams to ensure integrated and efficient processes.

Operational management

  • Ensure efficient and compliant execution of:
    • Payroll operations (local and international)
    • Office and equipment management
    • Business travel, licenses, and employee benefits administration
    • Legal document preparation and contract review
  • Optimizes resources, improves processes, and manages risks.
  • Implements quality control measures to ensure the accuracy and reliability of payroll processing.
  • Oversees and keeps track of team progress to make sure tasks are completed accurately and on time.
  • Streamlines workflows within the Legal, Admin and Payroll teams to maximize productivity and reduce redundancies.
  • Coordinate workflows with external providers (e.g., EOR vendors, legal consultants).
  • Work closely with the Head of People Ops to align processes and implement strategic initiatives.

Compliance and reporting

  • Maintains clear communication with senior management, the team, and stakeholders.
  • Ensure all practices align with local labor and data protection laws.
  • Oversee internal record keeping for payroll, benefits, and legal documentation.
  • Prepare operational reports and updates for leadership.
  • Ensures that all departmental processes, policies, and procedures are well documented and easily accessible.
  • Acts as the first point of contact between the Admin department and other departments ensuring clear understanding between them.

⚡ All you need is…
  • 5+ years in administrative, payroll, or legal coordination roles, ideally in a multi country setup
  • 2+ years of people/team management experience
  • Experience working with internal ops tools (e.g., Notion, Google Suite, payroll systems)
  • Proficient in using payroll and accounting software systems and experience handling complex payroll processes.
  • Excellent organizational and prioritization skills
  • Strong communication, both written and verbal
  • Problem-solving mindset with a hands-on approach
  • Comfortable working with ambiguity and building structure from scratch
  • Ability to understand and navigate compliance topics (with support from Legal/HR)
       Nice to have
  • Exposure to compliance-driven environments (e.g., audit preparation, GDPR processes, labor regulation alignment)
  • Experience collaborating with external partners/vendors (law firms, EORs, travel agencies, auditors, etc.)
  • Track record of improving internal service delivery (e.g., faster request handling, better license tracking, automation)
  • Experience working in international or remote-first organizations
  • Familiarity with company lifecycle operations, such as supporting company formation, opening new offices, or scaling administrative processes
  • Previous experience managing cross-functional administrative teams (e.g., Legal, Payroll, Office Management)
