Position Summary

The Grant Manager will oversee the full lifecycle of grant funding, including identifying funding opportunities, preparing proposals, managing award timelines, ensuring compliance, and completing all reporting requirements. This role works closely with program, finance, and development teams to support the organization’s strategic initiatives and sustainability.

  

Essential Duties &   Responsibilities

This is not intended to be an all-inclusive detailed list of daily duties nor is it a definition of a process. 

Ø Priority 1: Equity and Inclusion

Ø Priority 2: Grant Writing, and Applications

· Must exhibit strong expository writing skills and a high-level command of grammar and spelling

· Research and identify grant opportunities aligned with the organization’s mission

· Develops, gathers, and submits clean, compelling grant proposals, provided budgets and program narrative reports when required by a grant-making organization for funded project(s) or program(s)

· Primary writer for all grants. Determines when contract grant writing is needed

· Responsible for reviewing funder websites for grant cycle application and award dates and when reports are due

· Prepares and compiles a list and analysis of grant-making organizations to identify likely funding sources for specific projects and programs

· Maintain accurate records of all grant-related documentation including maintenance of archived files of grant research, grant applications (including refusals) and administration and distribution of grants that were approved

· Prepares, compiles and maintains “program needs” list of current and proposed agency programs that require funding. Research and pursue funding opportunities for these programs keeping in mind to not reallocate funding sources from current programs

· Collaborate with finance staff to prepare financial reports and reconcile budgets

· Coordinate and assist in reviewing the budget of a project or program(s) for which funding is sought. Work with the Chief Financial Officer to make recommendations to better present it to grant-making organizations

· Prepares letters of support for other agencies, with which DVIS collaborates and drafts letters of support to legislators, judges and others regarding legislation or public policies on behalf of domestic violence victims

· Develops and implements grant acquisition strategies - both initial application and renewal.

· Responsible for responding quickly to information requests from one grantor and stakeholder while still meeting the deadline of the other applications

· Maintain positive relationships and coordinate with DVIS staff and federal, state, local and private funding sources

· Monitors and coordinates regular interagency and interdepartmental grant oversight meetings.

· Responsible for working with Chief Financial Officer and Administration to match budget requirements to funding opportunities

Ø Priority 3 – Oversee Administration of all grants received by DVIS from federal, state, local and private sources to ensure regulatory compliance by:

· Maintaining relationships with grant-making organizations during their review of a submitted grant application and supplying additional supportive material as requested by the supervisor

· Monitoring existing grants and if applicable, submitting renewal or extension applications.

· Supplying progress reports when required by a grant-making organization for funding a project(s) or program(s)

· Coordinates with the Chief Financial Officer and program staff to match program suggestions and goals on newly awarded grants and potential grant opportunities. Convert ideas into workable funding opportunities

· Builds positive internal and external relationships, committed to fostering a positive work environment

·  Assuring that DVIS complies with all grant regulations and special conditions

· Preparing grant status reports, grant calendar, and other evaluation documents to monitor grant progress and accomplishments

· Responsible for software tracking, setting and meeting deadlines, and providing communication with Chief Financial Officer as needed to meet deadlines

· Attending and participating in community collaborations leading to the development of funding and program resources for DVIS

· Provide training for new and existing staff on grant management and reporting requirements

· Attend all All-Staff meetings and department meetings as required

· Other duties as assigned

Ø Priority 4 – Other Grant-Related Activities

· Adherence to all federal and state regulations regarding grant management, client services, specifically avoiding inappropriate conduct and strictly maintaining client and staff confidentiality

· Maintain a high level of professional and ethical conduct towards clients, staff and the community

· Maintain and promote a philosophy of customer service consistent with the goals of DVIS. Be sensitive to client service issues and flexible enough to respond to the needs of programs. 

· Must be sensitive to cultural and socioeconomic characteristics of the service population, as well as with coworkers

  

Other Duties & Responsibilities

Other Duties/Responsibilities: Other assistance to support the overall goals of the department and organization. 

Supervisory Responsibilities: None.

Budgetary/Fiscal Responsibilities: Acts as a good steward of DVIS’s resources.

Responsibility for Confidentiality: All positions require safeguarding against the release of confidential and proprietary information of DVIS and its clients.

Contact with Others: This position will interact with managers and staff across the organization, in addition to members of external organizations and the public. 

Requirements

Education: Bachelor’s degree in public administration, nonprofit management, finance, or related field, or 3–5 years of experience in grant writing and/or grant management

Experience: Must have strong writing skills, excellent organization skills, project management and recordkeeping. Also, the ability to work quickly and meet critical deadlines.

Knowledge, Skills, and Abilities: 

· Strong writing ability, with demonstrated awareness about different genres of writing and writing for different audiences

· Excellent analytical and organizational skills, including ability to synthesize complex or diverse information

· Experience collecting and researching data

· Experience with calculating figures and working with numbers

· Experience working proactively, while balancing a variety of priorities and workload.

· Demonstrated initiative to work independently and as part of a team, prioritizing work appropriately. 

· Familiarity with federal and private grant regulations (e.g., OMB Uniform Guidance)

 · Proficiency in Microsoft Office, especially Excel; experience with grant software (e.g., Instrumental, Salesforce, Blackbaud) a plus

Schedule Availability: Monday through Friday, 8:30 am to 5:00 pm, Occasional extended workdays.

Licences/Certifications : Valid Oklahoma driver’s license.

Mobility necessary to perform a variety of tasks that involve intermittent standing, walking/traversing, sitting, stooping, kneeling, bending, and twisting, occasionally climbing stairs or using an elevator, and possibly reaching chest high and overhead for materials.

Ability to reach for, move and/or lift up to 10 pounds and the use of hands to finger, handle, or feel objects, tools, or controls, including frequent repetitive movement such as extended periods of keyboarding.
