We are looking for a highly organized and experienced Business Travel Coordinator to lead and optimize Exadel’s international business travel function. This role is ideal for someone with a background in corporate travel management or travel agency operations who is ready to coordinate a geographically dispersed travel coordination team. The successful candidate will play a strategic role in assessing, redesigning, and improving our existing travel operations — with a strong focus on scalability, compliance, cost-efficiency, and employee experience.

What You’ll Do

Team Coordination

  • Coordinate a team of international business travel coordinators based in various Exadel offices across multiple countries
  • Provide guidance, training, and support to local travel coordinators to ensure global alignment and local compliance
  • Act as the central point of contact for all business travel-related matters

Strategic Travel Management

  • Analyze and assess current business travel processes and workflows
  • Propose and implement new tools, systems, and strategies to streamline travel planning, booking, and reporting
  • Develop and monitor KPIs for travel performance, cost savings, and traveler satisfaction

Travel Planning & Support

  • Implement and oversee end-to-end travel arrangements including flights, accommodations, ground transportation, and travel documentation, primarily for the Polish branch (300–400 trips annually)
  • Ensure all travel bookings adhere to company policies, budgets, and timelines.
  • Minimal ad-hoc office support

Compliance & Risk Management

  • Ensure compliance with company policies, vendor contracts, and Polish labor law, especially as it relates to travel reimbursements, health and safety, and working time regulations
  • Manage risk assessments and support incident management for traveling staff

What You Bring

  • 3+ years of experience in a similar role within a corporate travel department, travel agency, or logistics function
  • Strong analytical and problem-solving skills with the ability to propose scalable and data-driven solutions
  • Excellent knowledge of business travel platforms, booking tools, and expense management systems
  • Solid understanding of Polish labor law, particularly as it pertains to employee travel, expenses, and HR compliance
  • Fluent in English (written and verbal); Polish proficiency is a strong plus
  • Strong interpersonal skills with the ability to manage stakeholder expectations across all levels
  • Detail-oriented and highly organized with excellent multitasking abilities
  • Available to work on-site or hybrid at our Warsaw office (Emilii Plater 28)

Nice to Have

  • Familiarity with HR operations and HRIS tools
  • Experience leading or coordinating a team across multiple countries or time zones
  • Experience implementing travel management software
  • Bachelor’s degree in Tourism, Business Administration, HR, or related field
