Job Description:
This classification level is responsible for supervising administrative support staff and performing a broad range of work ranging from routine to specialized office/customer service for assigned district probation and court offices that have a relatively larger employee size i.e. Staffed more than thirty (30) full-time employees. Responsibilities may include coordinating administrative office procedures such as setting up files, maintaining assigned databases; training clerical and office support staff; implementing, and coordinating related administrative support services; preparing or reviewing a wide range of general correspondence and standard court documents; tracking office budgets and expenditures; providing customer services by answering phones and monitoring and ordering supplies.
Job Duties
1. Supervises office secretarial staff to include: prioritizing and assigning work; conducting performance evaluations; ensuring staff are trained; ensuring that employees follow policies and procedures; maintaining a healthy and safe working environment; and making hiring, termination, and disciplinary recommendations.
2. Prepares correspondence to include court documents, presentence or predisposition investigations, enter information into the database, and maintain budget balances, submit monthly billing claims and bi-annual billing invoices.
3. Coordinates and maintains accounting support functions which includes maintaining accounts, tracking purchases, reviewing and approving purchase orders and invoices, monitoring travel expenses, and performing related duties.
4. Attends meetings and conferences as required; takes minutes; composes drafts, prepares and distributes agenda, schedules, and other materials.
5. Prepares, processes, and maintains operational records, reports and statistics.
6. Performs other duties of a similar nature or level.

Requirements / Qualifications:
Minimum Qualifications: Associate’s degree in related field; and 3 years of administrative support experience or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
All educational credits must be granted from an accredited institution approved by the U.S. Dept. of Education.
Home Office & Travel:
This position will be responsible for the oversight of all support staff in this district which covers 10 counties. While the home office will be Beatrice, travel to other counties will be required regularly.

Physical Requirements:
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
