The Department Coordinator II will provide administrative support to the School of Medicine Graduate Medical Education (GME) Office efforts to maintain institutional oversight of over 100 accredited training programs, i.e., typing, copying, compiling and distributing data, filing, making and answering phone calls, greeting visitors, and assisting with special projects.
The person in this position must maintain positive working relationships with a large number of people at various levels, both inside the University and outside. In addition to the responsibilities of this position, this individual must be familiar with other aspects of the GME operation as well as other School of Medicine offices and operations, in order to appropriately assist and direct visitors and callers.
Essential Duties and Responsibilities:
Greet visitors, answer phones and process mail for the GME Office.
Respond to and log requests for verification of post-graduate training for residents and fellows.
Serve as a member of the Accreditation Team in carrying out the directives of the Graduate Medical Education Committee and its Subcommittees, including assistance with meeting planning, distribution of information and requests and assisting with special projects.
Provide support for the Program Coordinator Leadership Council. Develop agendas, organize meetings, and distribute materials. Attend meetings, record minutes and maintain records of Council actions. Assist with quarterly report of activities to the Graduate Medical Education Committee.
Manage the GME Office Schedule, Calendar. Update the GME Directory and Listserv for the GME community.
Responsible for the management of over 400 Program Letters of Agreements between programs and training sites.
Responsible for updating program information on Residency Management System (MedHUb).
Monitoring the office supplies and placing the orders.
Seasonal duties include distribution of meal tickets, parking permits and other items; participation in process of onboarding new residents and offboarding graduating residents (including ordering and distribution of graduation certificates).
Other duties as assigned by the Accreditation Manager.
Target Compensation Maximum:
$24.77Target Compensation Minimum:
$16.51Compensation will be commensurate to candidate experience.
