Position Description:

The University of Louisville Office of Admissions is seeking a Department Coordinator II. ​This position will report directly to the Associate Director of Admissions, as a critical part of the admissions team. The Department Coordinator will manage each stage of the publication process, from creating and facilitating print orders—to delivery and management of print inventory. This role also helps update the admissions website, supervises student assistants, and provides support for all members of the admissions communication team.

Essential Duties and Responsibilities

Manage relationship with Canon print and mail:

  • Serve as front-line point person, submit all admissions print requests

  • Lead bi-weekly meetings with Canon print and mail

  • Serve as liaison between admissions designers and Canon print and mail

  • Follow print projects from development to completion facilitate approval of all proofs and coordinate all deliveries

  • Complete all follow-up billing

  • Track communication interaction codes for printed mailings

Coordinate publication request process and ensure all requests are completed in a timely manner:

  • Ensure all orders are shipped to regional team in a timely manner

  • Manage and evaluate internal publication request form

  • Mange follow-up billing

  • Create & maintain student instruction guide

Assist with management of admissions web content:

  • Manage all admissions photos in Brand Center

  • Make regular updates to the admissions directory

  • Coordinate find your counselor updates with enrollment systems team

Maintain publication inventory:

  • Track all printed pieces, envelopes, letterhead

  • Monitor inventory numbers and re-order when needed 

  • Assist with swag inventory when needed

Update and maintain all statistics:

  • Work with IR and maintain annual master list to ensure stats are updated/consistent

  • Provide annual edits to communication materials

Monitor all text campaigns in Slate – respond to all requests in a timely manner or forward to appropriate staff members.

Supervise student assistants. Assign duties, monitor hours.

Preferred Qualifications

  • Background in marketing, writing and communications

  • Strong interpersonal and written communications skills

  • Experience with Adobe Creative Suite

  • Experience in web content management

  • Experience in CRM

Compensation will be commensurate to candidate experience.
