The Executive Assistant provides high-level administrative support to the Partner & Senior Managing Director while also supporting integration and coordination within his team. This role requires strong problem-solving abilities, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Requirements
Duties & Responsibilities
• Provide strategic and administrative support to the executive, managing daily operations with professionalism and discretion
• Manage internal team interactions, firmwide relationships, and external contacts
• Assist with bookkeeping and accounting-related tasks
• Create, edit, and maintain spreadsheets and presentations
• Schedule and coordinate internal and external meetings, including logistics, conference calls, and catering
• Maintain and manage detailed calendars, prioritize meeting requests, and resolve scheduling conflicts
• Prepare and submit accurate and timely expense reports
• Handle a moderate volume of telephone calls professionally and efficiently
• Perform ad hoc personal and professional tasks to ensure the Managing Director’s efficiency and focus
• Monitor email communications and identify actionable items requiring follow-up
• Coordinate and book domestic and international travel
• Support personal administrative needs, including subscription agreements, tax preparation, and LLC management
Qualifications
• Bachelor’s degree required
• 7-10+ years of experience supporting a C-suite or Managing Director-level executive, preferably in investment banking, private equity, asset management, or a similar finance setting
• Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint); familiarity with collaboration tools (e.g., Teams)
• Strong problem-solving and analytical skills
• Highly self-motivated with the ability to work independently and take initiative
• Consistently demonstrates integrity, excellence, teamwork, and results in all interactions
• Handle confidential information and sensitive materials with discretion and sound judgment
• Excellent verbal and written communication skills; confident interacting with investors, clients, and senior stakeholders
• Ability to perform under pressure and meet tight deadlines while maintaining accuracy
