Role Overview:

The Payroll Specialist III is responsible for the daily activities of corporate multi-state, multi-organization payroll operations to ensure employee pay and HRIS systems data are current and accurate, processes and controls are effective and efficient, and legal and regulatory compliance is maintained.

 
Essential Functions and Responsibilities:

  • Delivers timely and accurate bi-weekly payrolls for their IMI assigned businesses.  
  • Ensures accurate computation, compilation, preparation, and reconciliation, and accuracy of employee pay, deductions, and withholdings.
  • Monitors the payroll box for requested changes from Human Resources.  Makes the correct entries to the HRIS system including new hires, terminations, promotions, retro pay, reimbursements, etc. or makes correcting entries on a spreadsheet that will be uploaded to the payroll system. 
  • Complete state-required reporting (Washington L&I) and ensure taxes are properly paid. 
  • Responsible for monitoring Smart Compliance and taking actions or enlisting others to assist with correcting any issues related to garnishments and tax notices.
  • Acts as a Security Admin for the ADP Workforce Now system and is responsible for setting up administrative users. 
  • Plans and completes yearly off-cycle payrolls for annual bonuses, stock options, and manual checks.
  • Maintains accuracy of data in the HRIS system
  • Assists in capturing accurate time worked for non-exempt and exception time for exempt employees, as well as accurate tracking of time off and attendance in the timekeeping system.
  • Ensures that all employee benefits, including medical, 401(k), health savings accounts, flexible spending accounts, and paid time off, are accurately reflected in the payroll system.
  • Delivers a monthly report comparing state tax fields to the primary home address and identifies issues.
  • Completes the annual scrub of employees who are claiming to be tax exempt and follows the notification process. 
  • Acts as the next level review for payroll escalated issues before the Payroll Team Lead or Sr. Manager of Payroll becomes involved.
  • Reviews and resolves issues that occur in the ADP and Time and Attendance systems. Escalates to Payroll Team Lead when necessary. 
  • Liaises with all IMI Divisions to obtain timely and accurate payroll information.
  • Prepares documentation for annual, quarterly filings such as EEO-1 compliance, and pay transparency filings for California and Illinois.
  • Prepares and or updates process documentation on an ongoing basis to optimize efficiencies.
  • Attends educational classes/seminars as assigned. 
  • Participates in policy and standard operating process development.
  • Ensures that the incoming payroll-related mail is opened and circulated to the correct department.  Mail that requires payroll action should be scanned in to be processed. Upload garnishments to the garnishment team in Smart Compliance. Gather questions for ADP, such as unexplained withholding communications.
  • Be proficient in Smart Compliance to be able to: resolve tax filing issues, stop payment on a paycheck, set up tax jurisdictions, upload agency notices, view tax records, pull invoices for finance, manage onboarding, etc.
  • Other duties as assigned.

 
Qualifications 
Education and Experience

  • High school diploma or GED required.
  • At least 5 years of multi-state payroll experience in a medium to large-sized company, preferably in a manufacturing environment 

Skills and Competencies

  • In-depth knowledge of payroll: methods, procedures, controls, laws, and regulations
  • Possess critical thinking skills.
  • Self-motivated and proactive in studying, attending seminars, and staying current with payroll changes.
  • Capable of working as a member of a team and operating independently
  • Ability to effectively manage multiple tasks simultaneously and be extremely detail oriented.
  • High level of integrity and the demonstrated ability to handle sensitive and confidential information professionally.
  • Ability to work in a fast-paced, deadline-critical environment.

Computers and Technology

  • Proficient with MS Office Suite (Word, Excel, PowerPoint & Outlook)
  • Expert working knowledge of payroll and timekeeping systems. 

Certifications

  • Fundamentals of Payroll Certification (FPC) through Payroll Org (optional)
  • Certified Payroll Practitioner (CPP) through Payroll Org (optional)

Pay range: $35 - $37/hour 

Within this range, individual pay is determined based on skills, experience, and qualifications relative to the job requirements. Base pay information is aligned with market location and may be subject to prevailing wage laws, if applicable.
