SUMMARY
This position supports and reports to the General Counsel and assists the Legal Department in providing timely and exceptional legal services across all EAA departments. The Legal Assistant performs a wide variety of projects and functions all while maintaining solid, productive working relationships and communications with all EAA personnel. The Legal Assistant has knowledge of, and sensitivity to, legal ethical standards, which are obligations of all counsel in EAA’s Legal Department and of all work performed by EAA’s legal counsel and maintains absolute confidentiality of all non-public and confidential corporate information. The Legal Assistant performs high-quality administrative duties that enable EAA’s legal counsel to deploy their resources strategically and efficiently.
ROLES AND RESPONSIBILITIES
- Responsible for the Legal Department’s file and document management and performs administrative duties to support the effective delivery of complex legal services organization-wide.
- Works in an environment requiring the highest levels of confidentiality, discretion, and sensitivity, with a heavy and varied workload, pressing deadlines, and shifting priorities.
- Supports and assists the Legal Department, including, without limitation, the following:
- Coordinates utilization of templates prepared and authorized by legal counsel, all under the supervision of legal counsel.
- Reviews and updates template agreements as requested by legal counsel and under the supervision of legal counsel.
- Prepares and reviews correspondence, permits, and other legal documents for approval and execution by legal counsel.
- Handles information requests to and from other company personnel, including providing historical information from corporate records and commercial transactions.
- Prepares and acts as corporate liaison for complex state filings, including charitable solicitation filings.
- Works with outside counsel regarding timely completion of EAA’s ongoing projects handled by outside counsel.
- Assists with filing of EAA’s lobbying reports with the House and Senate with approval by EAA’s Vice President of Advocacy & Safety.
- Organizes and maintains the Legal Department’s electronic and physical files, including tracking status, establishing and re-prioritizing deadlines as needed, and closing files.
- Works closely with EAA’s Risk Management Department on agreements requiring insurance.
- Manages the signature process for agreements, including uploading and tracking the status of the electronic execution of agreements.
- Assists with gathering and assembling documents in response to subpoenas and discovery requests.
- Embrace and support the EAA mission and performs safe practices in the workplace and aviation environment.
- All other duties as assigned.
MINIMUM QUALIFICATIONS
- Associate or bachelor’s degree related to the course of study for legal assistants.
- Prior Legal Assistant experience in a mid-size or large law office with corporate emphasis or in an in-house legal department.
- Excellent verbal and written communication skills.
- Integrity, responsibility, discretion, intelligence, independence, accuracy, neatness, attention to detail, eagerness to learn and grow in the job, sense of urgency, and a positive attitude.
- Excellent organizational skills with the ability to manage and prioritize multiple projects in a fast-paced environment under deadline pressure.
- Desire to work in a process-driven environment that requires both analytical thinking and attention to detail, and enthusiasm for teamwork.
- Proficient with Microsoft Office Suite or related software.
- Either a notary public or willingness to become a notary public.
PHYSICAL REQUIREMENTS
Typical office setting. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
Preparation for AirVenture or other events may require lifting up to 50 lbs. occasionally, standing and walking for extended periods of time while bending, squatting, kneeling, twisting, and push and pull motions.
