As Regional Sales Coordinator, you will provide administrative and day-to-day support for Directors of Sales, ensuring the highest levels of Guest Service are met and support the hotel's revenue goals in the Corporate & Leisure segments.

What You Will Be Doing

Reporting to the Regional Director, Leisure Sales, this role is instrumental in supporting regional sales initiatives, managing corporate account administration, and ensuring seamless coordination across five Fairmont properties in the Pacific Northwest: Fairmont Hotel Vancouver, Fairmont Waterfront, Fairmont Pacific Rim, Fairmont Vancouver Airport, and Fairmont Empress. 

  • Consistently deliver professional, prompt, and engaging service.
  • Provide administrative support to the Directors of Business Travel and other Sales Directors/Managers as assigned.
  • Serve as a Sales Ambassador for ALL – Accor Live Limitless and travel agency programs.
  • Maintain comprehensive knowledge of all regional properties and their offerings.
  • Champion and support the use of the ANAIS platform.
  • Submit and update RFPs, rate agreements, and related documentation.
  • Process and maintain corporate accounts across various market segments.
  • Update hotel information across databases and RFP platforms, including Cvent.
  • Prepare weekly welcome amenities and personalized client cards.
  • Draft and distribute agreements, contracts, and rate proposals.
  • Act as the primary administrator for corporate agreements within Proposal Path.
  • Coordinate site visits, client entertainment, and familiarization (FAM) tours.
  • Manage all logistics for client lunches, property tours, FAM trips, and corporate travel events.
  • Track and log daily activities for assigned managers.
  • Respond to client inquiries and provide support during managers’ absences.
  • Coordinate corporate rate loading with Revenue Management and Accor Distribution teams.
  • Maintain master tracking documents with accurate corporate rate information.
  • Support regional projects, reporting, and administrative initiatives.
  • Complete month-end Corporate Travel and Agency reporting for the region.
  • Assist with the planning, preparation, and follow-up of sales trips and FAM visits.
  • Provide office and sales coordination support for the Fairmont Hotel Vancouver sales team.
  • Support additional market segments across the region as required.
  • Collaborate with internal departments to ensure timely communication and information sharing.
  • Build and maintain in-depth knowledge of all five regional properties.
  • Adhere to all hotel policies, procedures, and safety standards.
  • Perform additional duties and special projects as assigned.

Qualifications

What We Are Looking For

  • A service-focused professional with relevant sales or hospitality experience.
  • Intermediate to advanced proficiency in Microsoft Office Suite, Publisher, Opera Property Management System, and cloud-based applications.
  • University or college degree/diploma considered an asset.
  • Strong knowledge of hotel operations, services, and facilities preferred.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and organizational abilities.
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong client-service orientation with the ability to remain calm and professional under pressure.
  • Professional presentation, communication style, and demeanor.
  • Highly responsible, reliable, and self-motivated.
  • Ability to work independently while contributing effectively to a collaborative team environment.
  • Strong interpersonal, relationship-building, and problem-solving skills.
  • Flexibility to work evenings and weekends when required.

Physical Aspects of Position

  • Prolonged seated computer work, including frequent use of a keyboard and mouse.
  • Occasional use of stairs, ramps, and ladders.
  • Occasional standing, walking, bending, and kneeling.
