About the role:

We are currently seeking an Administrative Assistant – Wealth Management to join our team! 


The Administrative Assistant - Wealth Management provides administrative and operational support to a department overseeing multiple Financial Advisors as well as our broker-dealer Raymond James. This role is critical to ensuring efficient daily operations, compliance with regulatory requirements, and a high standard of service to both advisors and clients. The position requires exceptional  organizational skills, discretion, attention to detail, and the ability to manage competing priorities in a fast-paced financial services environment 

Requirements

Administrative & Operational Support

 • Provide comprehensive administrative support to department leadership and Financial Advisors, including calendar management, meeting coordination, and correspondence
• Prepare, proofread, and distribute internal and external communications, reports, and presentations
• Maintain organized electronic and physical filing systems in accordance with firm and regulatory standards
• Coordinate onboarding and offboarding logistics for Financial Advisors and support staff 


Advisor & Client Support
  • Serve as a point of contact for internal teams, Raymond James and clients, ensuring timely and professional responses
  • Assist with client meeting preparation, including compiling materials and scheduling follow-ups
  • Support advisors with routine administrative tasks to allow focus on client service and business development


Coordination & Process Improvement
  • Liaise with internal and broker-dealer departments such as Compliance, Operations, HR, and Finance to resolve issues and streamline workflows
  • Identify opportunities to improve administrative processes and support efficiency across the department
  • Track deadlines, action items, and key deliverables to ensure timely completion


Performance Measurements:

  • Administrative Effectiveness & Reliability – Consistently completes administrative tasks accurately and on time, with minimal errors or need for rework.
  • Advisor Support & Responsiveness – Provides timely, reliable support to Financial Advisors by responding promptly to requests     and proactively anticipating needs.
  • Compliance & Risk Management – Maintains full compliance with firm policies and regulatory requirements through accurate     documentation and strict confidentiality.
  • Organization & Documentation Management – Keeps records, files, and documentation well organized, current, and easily accessible in     accordance with firm standards.
  • Communication & Professionalism – Communicates clearly, professionally, and effectively with advisors, leadership, clients, and internal partners.
  • Collaboration & Team Support – Works collaboratively with leadership and colleagues to support departmental goals and ensure smooth daily operations

 

 Education and Skills:

  • Experience: One year to three years of similar or related experience.
  • Education: A high school education or GED.

Other Skills:

(a) Strong communication (verbal and written), organizational, analytical, and problem-solving skills.
(b) Excellent member relations skills.
(c) Ability to function in financial institution environment and utilize standard office equipment
(d) Fundamental knowledge of related HR regulations governing the state of Maryland and the District of Columbia
